Large companies with long employee histories have a unique file management problem. Sorting through thousands of rolodex cards by hand for an employee’s information isn’t easy. Consequently, savvy companies with this problem now call GDS to fix it for them! Rolodex card scanning, though not a common request, is a great example of the benefits to digital file management.
Once we receive the Rolodexes at our facility, a GDS employee removes the cards and scans each one through. Due to the age of the cards, employees adjust settings in realtime, as they scan. This ensures that each card is legible once in digital form. We also apply OCR, or Optical Character Recognition, to the resulting files. This is an extra step that we do with all of our projects, but is especially important for cards like these. After processing, the company can pull up old employee information easily and search by name within the PDFs. With the addition of GDS’ secure shredding service, companies can trust that the personal information on each card is secure, with no risk of exposure.
